1. Overview
The NJMTECH voice agent is an automated assistant powered by artificial intelligence. It answers questions, looks up business information and can take actions such as creating bookings. When you call or message it, you are speaking to software, not a person. We process only the information needed to hold the conversation, complete your request and keep the service secure and reliable.
2. Information we collect
When you use the voice agent we may process:
• Your WhatsApp phone number, WhatsApp profile name and call or message identifiers provided by Meta.
• The audio of your call or voice note, which is converted to text in real time.
• Text transcripts of the conversation, including the agent's replies.
• Information you choose to share, such as your name, the service you want and a preferred date and time for a booking.
• Technical metadata such as call start and end times, delivery status and error logs.
3. How the voice agent processes your conversation
During a call or voice note:
• Your speech is transcribed to text by a speech-to-text provider.
• The transcript is sent to a large language model, which generates a reply and may request business information or an action (such as a booking) from our own systems.
• The reply is converted back into speech by a text-to-speech model running on cloud GPU infrastructure and played or sent back to you.
Call audio is processed as a live stream and is not recorded or stored by NJMTECH. Transcripts and a short automated summary of each call are kept as described in the Retention section.
4. Service providers
We use the following providers to operate the voice agent. Each processes data on our behalf under its own terms and privacy policy:
• Meta Platforms (WhatsApp Business Platform) for WhatsApp calls and messages.
• Deepgram for real-time speech-to-text on calls.
• Cloudflare for secure network tunnelling and speech-to-text on voice notes (Workers AI).
• Anthropic for the Claude language model that generates replies.
• Modal for the cloud GPUs that run our text-to-speech model.
Some of these providers process data outside South Africa. Where personal information is transferred across borders, we rely on providers that apply safeguards consistent with the Protection of Personal Information Act (POPIA).
5. How we use your information
We use your information to:
• Understand and answer your questions during the conversation.
• Complete actions you ask for, such as creating or confirming a booking.
• Follow up on your request where the agent could not resolve it.
• Monitor quality, fix errors and prevent abuse of the service.
We do not sell, rent or trade your personal information, we do not use it for advertising, and we do not use your conversations to train AI models.
6. Retention
Call audio is not stored. Conversation transcripts, call summaries and short message history used to keep context in WhatsApp conversations are kept only as long as needed to provide the service and handle follow-ups, and are periodically deleted. Booking details are kept for as long as reasonably required to deliver and administer the booking. You can ask us to delete your information at any time.
7. Storage and security
Information is stored in systems under our control and in the systems of the providers listed above. Access is limited to Nhlanhla Junior Malaza and the systems required to operate the voice agent. Connections between components are encrypted, and access keys are kept secret. No method of transmission or storage is completely secure, but we apply reasonable technical and organisational measures to protect your data.
8. Your rights and choices
Under POPIA you may request access to, correction of or deletion of the personal information we hold about you, and object to its processing. You can stop using the voice agent at any time by ending the call or no longer messaging the number. To exercise your rights, contact us using the details below. You may also lodge a complaint with the Information Regulator of South Africa.
9. Children
The voice agent is not intended for children under 18. We do not knowingly collect personal information from children. If you believe a child has used the service, contact us and we will delete the related information.
10. Changes to this policy
We may update this Voice Agent Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the voice agent after changes are posted means you accept the updated policy.
